Fast Post: overview

Fast Post is the main page of the app. Here you see every order that needs to go to the courier.

Tabs

There are five tabs at the top. Each order is in exactly one tab. The number next to a tab says how many orders are in it.

To reserve
New orders. They do not have a tracking number from the courier yet.
To print
They have a tracking number. The label is not printed yet.
To announce
The label is printed. The order waits for you to announce it to the courier.
Scheduled
Orders you moved to a later day. On that day they go back to To reserve by themselves.
All
All orders from the tabs above, together.

When you announce a parcel, it leaves Fast Post. You find it in All Shipments. See All Shipments and Shipment Log.

The "Before sending" box

In the To reserve tab, above the list, you sometimes see a Before sending box. It holds orders that do not go to the courier until you do something.

  • Customers who need your decision. For example a customer on your blacklist, a customer who sent parcels back, or two identical orders. Click Review.
  • Orders with no phone or address. Click Fix and add what is missing.
  • Orders the courier did not accept. Click Try again.

At the bottom of the box you see how many orders are ready. The Reserve all button reserves all ready orders at once. Orders in the box are not touched.

The Rules link opens the check rules. What is checked is explained in Order checks and decisions.

What a row shows

Each row is one order. You see the order number, the customer, the product and the COD amount. Clicking the order number opens it in Shopify.

The Status column shows at most one flag. It tells you what to do. The button on the right does exactly that.

No flag
The order is ready. The button is Reserve.
Blacklist
The customer is on your blacklist. The button is Review.
2 returns (or another number)
The customer sent parcels back before. The button is Review.
Same product
The customer already ordered the same product, or it is already on its way to them. The button is Review.
Several orders
The customer ordered several times in a short time. The button is Review.
No phone, No address, Missing details
The courier is missing a phone, address, city or postal code. The button is Fix.
Courier did not accept
The courier refused the order. Hold the mouse over the flag to see why. The button is Try again.
Check failed
The app could not check the customer. Click Check again.
Approved
You approved sending even though there was a warning. The button is Reserve.
Tracking number (AWB)
The order is reserved. Click the number to copy it. The button is Print or Announce.
Ships and a date
The order is scheduled for that day.

Sometimes there is one more line under the product. Another parcel is on its way means the customer is already waiting for another parcel from you. Click it to see where that parcel is. Replacement and Open on delivery are options for the courier. Product returns 40% says how often that item comes back. Next to the customer you may see Picked up 3 of 5: how many of your parcels they picked up. These two only inform you and never stop an order. You turn them on in Reservation blocking, in the group Only warns.

Numbers to the right of the tabs

COD waiting
The total COD of all orders that are not announced yet. Scheduled orders are included.
Announced today
How many parcels you announced today. Click it to open announced parcels.
Courier did not accept
How many orders the courier refused. You only see this when there are some.

Search and filters

  • The search box finds orders by order number, customer name, phone, product (SKU) and tracking number (AWB).
  • The Filters button has three things: a shop choice, Today only and Sort.
  • Today only shows only orders that came in today.
  • The button with arrows refreshes the list. The list also refreshes by itself every 10 seconds.
  • The app remembers the last tab and filters you used.

Many orders at once

Tick the boxes on the left of the orders. A bar with buttons appears at the bottom. What each button does is in Reserve, print, announce.

The three-dot menu

At the end of each row there is a button with three dots (⋯). It has:

Edit
Change the customer or parcel details. A double click on the row does the same.
Schedule shipping
Move the order to another day. See Schedule sending.
Print again
Open another copy of the label.
Split orders
Put merged orders back the way they were.
Delete
The order leaves Fast Post. See Deleting.

The menu only shows what that order can do. For example, Print again appears only after the label was printed.

Problems?

Why does Reserve all show a smaller number than the tab?

The button counts only ready orders. Orders in the Before sending box wait for your decision.

Where is the order I announced?

Announced parcels leave Fast Post. You find them in All Shipments.

An order disappeared from To reserve.

Look in the Scheduled tab. Maybe it is already reserved, so it is in To print or To announce. Also check that Today only is off.
